The Strategist, Marketing PMOis responsible for leading the planning, prioritization, and execution of marketing and shared services initiatives across the organization. This role serves as the operational backbone of the marketing function, overseeing project intake, resource management, portfolio governance, and delivery execution while ensuring alignment to business priorities and organizational goals.
As the leader of the Marketing PMO team, this individual manages a team of three Project Managers and partners closely with Integrated Marketing, Marketing Operations, Creative Services, Brand, Digital, Finance, Procurement, and business stakeholders to drive efficient execution, improve operational maturity, and enhance visibility into work across the organization.
The ideal candidate is a strategic operator who can balance high-level planning with execution excellence. They are highly collaborative, data-driven, and experienced in building processes, leading teams, and driving accountability across complex, cross-functional initiatives.
Responsibilities
PMO Leadership & Team Management
- Lead and develop a team of Project Managers responsible for coordinating marketing and shared services initiatives
- Establish team priorities, workload distribution, performance expectations, and professional development plans
- Foster a culture of accountability, collaboration, continuous improvement, and customer service
- Provide coaching and guidance to project managers on project planning, stakeholder management, and execution best practices
- Build PMO capabilities, standards, and operating models that scale with organizational growth
Portfolio Management, Intake & Prioritization
- Own and lead the centralized intake process for marketing and shared services requests
- Partner with functional leaders to evaluate, prioritize, and sequence work based on business objectives, capacity, and strategic importance
- Ensure projects are properly scoped, documented, resourced, and aligned to organizational goals before work begins
- Establish governance processes for project intake, approval, prioritization, and execution
- Monitor portfolio health and proactively identify resource constraints, competing priorities, risks, and dependencies
Project Delivery & Operational Excellence
- Oversee the successful delivery of marketing initiatives across multiple teams and workstreams
- Drive project planning, milestone management, and execution discipline through standardized project management methodologies
- Ensure projects are delivered on time, within scope, and aligned with stakeholder expectations
- Escalate and resolve project roadblocks while facilitating decision-making across stakeholders
- Continuously improve project management practices, workflows, governance models, and service delivery processes
Resource Planning & Capacity Management
- Lead resource planning and workload management across marketing, creative services, and shared services teams
- Maintain visibility into team capacity, utilization, prioritization, and upcoming resource needs
- Partner with department leaders to balance demand against available resources and make recommendations on staffing, outsourcing, and prioritization
- Develop forecasting processes to support annual planning and operational decision-making
Vendor & Financial Operations
- Oversee operational relationships with agencies, contractors, and external partners
- Identify opportunities to improve vendor performance, efficiency, and value realization
- Monitor project budgets and vendor spend to ensure alignment with approved budgets and financial objectives
- Partner with marketing stakeholders and procurement to facilitate contracts, statements of work, invoices, and renewals
Reporting, Analytics & Executive Communications
- Develop and oversee reporting frameworks that provide visibility into project demand, throughput, resource utilization, project status, and operational performance
- Establish KPIs and operational dashboards to measure PMO effectiveness and service delivery
- Deliver portfolio insights and recommendations to marketing leadership to support planning and prioritization decisions
- Prepare executive-ready updates, presentations, and operational reviews for senior leadership
Qualifications
Required
- Bachelor's degree in Marketing, Business, Communications, Project Management, or a related field
- 7+ years of experience in project management, PMO leadership, marketing operations, business operations, or a related discipline
- 2+ years of people leadership experience, including managing and developing project managers or operational teams
- Experience leading complex, cross-functional initiatives involving multiple stakeholders and competing priorities
- Strong understanding of project portfolio management, resource planning, and operational governance
- Experience establishing and improving workflows, project management methodologies, and business processes
- Advanced proficiency with work management platforms such as Workfront, Asana, Monday.com, Jira, or similar systems
- Strong analytical, reporting, and executive communication skills
- Demonstrated ability to influence stakeholders and drive execution without direct authority
Preferred
- Experience leading a Marketing PMO or creative operations function
- PMP, Agile, Scrum, or related project management certification
- Experience supporting enterprise marketing, creative services, digital marketing, or shared services organizations
- Experience with capacity planning, workforce management, and operational analytics
